Indspire is seeking a replacement Executive Assistant to the Vice President, Development. This role provides high-level strategic and administrative support, enabling the VP to focus on cultivating transformational, high-value donor relationships that drive revenue growth for Indspire.
 
The Executive Assistant oversees the VP’s office operations, including complex scheduling, travel coordination, Board and senior leadership fundraising activities, and liaison with Development Directors to ensure seamless execution of priorities and commitments.
 
With a background in fundraising, the Executive Assistant supports transformational gift activity through donor briefing preparation, stewardship coordination, and follow-up. The role also serves as a trusted liaison to key stakeholders, exercising professionalism, discretion, and sound judgment at all times. Experience in the fundraising or nonprofit sector is essential.
 
Key Responsibilities
In this role, you’ll be:

  • Prioritizing and managing the VP’s workload, ensuring the VP has the capacity to focus on delivering Indspire’s strategy and revenue goals, as well as leading the operation, innovation, and growth of the fundraising department.
  • Serving as a strategic partner to the VP in advancing fundraising efforts, proactively identifying opportunities to strengthen donor engagement, streamline operations, and enhance overall fundraising effectiveness.
  • Supporting the VP by proactively coordinating interactions with Development Directors, senior leadership, Board members, major donors, sponsors, and high-value prospects, enabling the VP to serve as the primary liaison.
  • Leading daily briefing sessions with the VP to align priorities, preparing for donor engagements, and advancing key initiatives.
  • Managing the VP’s complex calendar with a forward-looking lens, anticipating priorities weeks in advance; working proactively with internal and external stakeholders to gather information, prepare materials, and ensure the VP has adequate time to review, refine, and submit documents ahead of meetings and engagements.
  • Partnering with Development Directors and the Prospect Researcher to develop high-quality briefing materials, presentations, and strategy documents well in advance of donor engagements, ensuring alignment, accuracy, and strategic clarity.
  • Drafting and managing timely, accurate, and professional internal and external correspondence on behalf of the VP.
  • Attending donor meetings as required, preparing agendas, documenting outcomes, independently advancing action items, and ensuring accurate donor activity tracking in Raiser's Edge NXT.
  • Supporting transformational gift management by tracking donor pipelines, coordinating stewardship strategies, and ensuring disciplined follow-through on commitments.
  • Collaborating across departments to execute major gift announcements and donor recognition initiatives.
  • Collaborating with C-Suite Executive Assistants to advance cross-functional initiatives aligned with Indspire’s strategic plan and communicate fundraising priorities across the organization. Anticipating upcoming events and leadership meetings to ensure the VP can showcase the fundraising program and maximize donor engagement opportunities.
  • Exercising sound judgment in triaging sensitive and confidential matters directed to the VP, determining appropriate action and response.
  • Leading logistics and planning for Development department meetings and supporting donor cultivation and stewardship events.
  • Compiling and drafting quarterly departmental reporting for inclusion in organizational work plans and Board materials.
  • Preparing and submitting monthly expense reports for the VP.
  • Supporting the Development team on fundraising campaign projects as required, ensuring initiatives run smoothly and aligning with overall fundraising priorities.
  • Handling confidential information with the highest level of professionalism, discretion, and integrity.
  • Crafting and disseminating regular updates on the VP’s activities, meetings, and priorities to the Development department, ensuring staff are informed of key initiatives, whereabouts, and upcoming engagements.
  • Cascading relevant and appropriate updates from executive leadership to the Development Directors, ensuring alignment and timely communication across the department.
  • Undertaking special projects and other duties as assigned.
  • Occasional travel required.

Qualifications

  • Demonstrated ability to serve as a professional and trusted representative of Indspire and the VP, Development, exercising diplomacy, sound judgment, and executive presence in all interactions.
  • Post-secondary education in business administration or a related field, or an equivalent combination of education and experience.
  • Minimum of 5 years’ experience providing senior-level executive administrative support, ideally within a fundraising, non-profit, or mission-driven organization.
  • Proven ability to think and plan several weeks ahead, anticipating priorities, identifying information gaps, and proactively coordinating with stakeholders to ensure materials and briefings are prepared well in advance of meetings and engagements.
  • Exceptional organizational, time management, and prioritization skills, with the ability to manage competing demands in a high-performance, fast-paced environment.
  • Strong interpersonal and relationship management skills, with the ability to build trust and collaborate effectively across executive leadership, Board members, donors, and staff at all levels.
  • Advanced writing and editing skills, with demonstrated experience drafting clear, concise, and professional correspondence and briefing materials for executive and donor audiences.
  • Strong analytical and problem-solving abilities, with the capacity to exercise independent judgment and escalate issues appropriately.
  • High degree of discretion, professionalism, and integrity in handling confidential and sensitive information.
  • Demonstrated expertise in project management using Asana (or comparable project management platforms), including building project plans, setting milestones, tracking deliverables, and ensuring disciplined follow-through across multiple stakeholders.
  • Demonstrated experience coordinating complex calendars, executive briefings, travel logistics, and high-level meetings or events.
  • Experience supporting fundraising operations, donor engagement activities, or campaign initiatives considered an asset.
  • Knowledge of Indigenous issues and experience working with Indigenous communities preferred.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint; experience with Raiser's Edge NXT strongly preferred.
  • Ability to travel occasionally within Canada, including between the Six Nations and Toronto offices.
  • Ability to work occasional evenings and weekends as required to support events and donor engagements.
